Description:
JOB SUMMARY: Under moderate supervision, performs routine administrative support duties for specific office locations under both the Facilities and Human Resources departments. Responsible for timely distribution and pick-up of mail. Provides customer service to the office. Communicate, with discretion, confidential information concerning personnel.
JOB DUTIES:
1. Performs receptionist/routine administrative support duties for Human Resources and Facilities departments i.e., answers phones types documents, files records/employee files, copies documents, orders office supplies, schedules appointments, etc.
2. Provide general office support including front desk coverage, exit interviews for entry level employees, conducting employment verifications, and providing back up for Executive Administrator.
3. Inputs and maintains data in HRIS system such as new employee information, transfers, terminations, and status changes.
4. Generates and distributes reports to Managers and HR staff, i.e. compensation reports, headcount reports, etc.
5. May assist in coordinating recruiting function by scheduling interviews, phone screening candidates, etc. Provide support with training by scheduling classes, preparing presentations and materials.
6. Sorts and delivers office UPS/US mail, department mail, and packages according to department schedule (2 times/day for delivery & pick up).
7. Uses Oracle iProcurement system for order tracking for office deliveries. Entry point for deliveries into Sacramento Site.
8. Coordinates Facilities department service providers for: shredding, off-site storage, coffee, furniture repairs, etc
9. Maintain and make minor adjustments to office equipment. Works actively with building management to perform routine office repairs (lights, HVAC, chairs, etc.)
10. Special projects as assigned.
Qualifications:
REQUIREMENTS:
High School Diploma or equivalent required. Good oral and written communication skills to communicate with department personnel and answer outside calls. Ability to organize and prioritize work. Broad working knowledge of office routine, office equipment, WP and PC applications. Microsoft Office experience preferred. Strong customer service skills preferred.
